Under the direction of the Executive Assistant to the CEO, the Chief Financial Officer and General Counsel, the Executive Assistant performs a variety of highly responsible, confidential, and complex administrative duties. This individual must have a resourceful “can do” attitude, be a competent multi-tasker and skilled in determining matters of importance and high priority.

Year 1 is going to be about:
- Review of daily e-mail correspondence and monitoring of high priority items
- Calander management including scheduling meetings with direct staff, internal and external parties and prioritizing the most sensitive matters.
- Prepare presentations, agendas, reports, special projects and other documents for the executives as needed
- Support key external relationships and communication on behalf of the company with vendors/suppliers, banking/financing partners, auditors, business license compliance and legal firms etc.
- Coordinate the team’s successful and timely completion of the company’s quarterly review & objectives setting process
- Accounting/Finance department support to include but not limited to:
- Scheduling of monthly financial meetings
- Ensure clear departmental communication and all deliverables/deadlines are met.
- Plan, organize and execute department in person days and team events.
- Legal support to include but not limited to
- Acts as a custodian of contracts, corporate & legal documents and records in our legal our contract management system.
- Prepare and distribute monthly reporting of agreements by department. Track all new agreements, terminations and renewals within the CMS.
We can’t skip over some of the specific skills and experience we know are a “must” to be successful. So, we need you to have:
- 8+ years experience supporting C-Level executives is required.
- Experience performing initial review of contracts and legal documents is desirable Skill in determining matters of importance and high priority.
- High level of integrity and confidentiality
- Highly organized with a proven track record of efficiency
- Adapts communication style and medium to suit message and audience.
- Enjoys working in a fast paced and energetic environment
- Strong organizational skills and ability to prioritize workload, manage multiple tasks and projects at once, And meet deadlines.
- Demonstrates willingness to accept new and different tasks and challenges and grow in new areas of responsibility.
- Willingness and ability to learn company specific software and programs, i.e. Link Square, Doclink, ZenDesk Sells, etc.
- Advanced computer skills required (Microsoft Outlook, Word, Excel, PowerPoint, Internet/Intranet and SharePoint.)
- Experience as a Legal Assistant or Executive Assistant in a legal office is desirable
