  • Overview

    The Special Events Coordinator will be tasked with the coordination, planning, and executing 2 of Turn5's annual events, the AmericanMuscle Mustang Show and ExtremeTerrain Go Topless Day.

     

    The AmericanMuscle event draws nearly 10,000 people each year and generates $100,000+ for charity annually. 2020 will be its 12th annual show.
    ExtremeTerrain Go Topless Day is a worldwide Jeep Wrangler event. Jeep clubs and groups are encouraged to host their own Go Topless Day events – events range from trail cleanups to parades to show and shines. More than 240 events took place in 2019. 2020 will be its 13th annual show.

    • Start Date March 3, 2020
    • End Date June 30, 2020

    Responsibilities

    • Participate in agenda development preparations/minutes for meetings
    • Attend strategy meetings
    • Communicate with local business community and manage their involvement in events such as donations, sponsorship and volunteer efforts
    • Research and secure vendors to fulfill needs for special events (tents, DJ, security, etc.)
    • Act as liaison between internal departments: Marketing, Merchandising, Fulfillment, Customer Service, IT, Web Development and Finance
    • Act as a direct point of contact for hired vendors
    • Social Media support including event group moderation, event posts and updates
    • Write and distribute operational instruction sheets for each event area
    • Manage project checklists; responsible for task delegation, completion and follow-up when necessary
    • Clerical projects including filing, organizing, phone calling, etc. or run business-related errands
    • Act as lead for setup on days leading up to event
    • Coordinate logistics and act as the lead day-of-event support
    • Support post-event activities including updating contact lists and compiling contract documentation
    • Excellent organization, communication and interpersonal skills required
    • Must have ability to multi-task and work in a fast-paced environment
    • Proficiency in Microsoft Office Applications including Word, Excel, PowerPoint and Outlook
    • Participate in special projects and perform other duties as assigned

    Qualifications

    • Completion of 1 prior related internship preferred
    • Prior event planning experience preferred but not required
    • Internship is open to all majors with relevance to event planning / marketing
    • Reliable form of transportation to office in Paoli, PA daily required
    • Reliable form of transportation to AmericanMuscle event and rain date

      • Saturday June 20, 2020 (rain date) 
      • Will need to be able to travel to venue in weeks leading up to event for setup, planning, etc.
